#When to Use This

This guide is for you if:

  • You need to create a pricing proposal for a customer
  • You're quoting decorated apparel (screen printing, embroidery, etc.)
  • You want to provide customers with an online-viewable quote
  • You need to track quotes through approval and conversion to jobs

Not what you need? If you want to create a job without a quote, see Job Overview. If you're looking to duplicate an existing quote, open the quote and use the duplicate action.

#Prerequisites

Before creating a quote, ensure you have:

  1. Access to Threadline with quote creation permissions
  2. Customer contact information (name, email, company)
  3. Product requirements from your customer (garment styles, colors, quantities)
  4. Decoration specifications if applicable (logo files, placement, colors)

#Creating a New Quote

#Step 1: Open the Quote Builder

From anywhere in Threadline, navigate to Quotes in the left sidebar. Click the New Quote button in the top-right corner.

Result: The quote builder opens with a blank quote ready for configuration.

#Step 2: Understanding the Layout

The quote builder has three main sections:

  • Left panel: Customer selection and quote details
  • Center area: Line items (garments, decorations, fees)
  • Right panel: Order summary with running totals

#Selecting a Customer

Every quote requires a customer. You have two options:

#Option A: Select an Existing Customer

  1. Click in the customer search field
  2. Type the customer name, company, or email
  3. Select the matching customer from the dropdown

The customer's saved information (company, contact, addresses) automatically populates the quote.

#Option B: Create a New Customer

  1. Click Create Customer below the search field
  2. Fill in the required fields:
    • Company Name: The business name
    • Contact Name: Primary contact person
    • Email: For sending quotes and notifications
    • Phone: Optional but recommended
  3. Click Save to create the customer and attach them to the quote

Tip: Creating a customer here also adds them to your customer database for future quotes.

#Adding Garments

#From the Catalog

  1. Click Add Item in the line items section
  2. Search for products by:
    • Style number (e.g., "G500", "PC54")
    • Brand name (e.g., "Gildan", "Port & Company")
    • Product description (e.g., "heavyweight cotton tee")
  3. Select the product from search results
  4. Choose the color from available options

Result: A new line item appears with the product details and a size/quantity grid.

#Adding Custom Products

For products not in the catalog:

  1. Click Add Custom Item
  2. Enter the product details manually:
    • Product name and description
    • Available sizes
    • Base cost and sell price
  3. Save the custom product

Custom products can be saved to your catalog for reuse or used as one-time items.

#Configuring Sizes and Quantities

Each garment line item includes a size/quantity grid:

#Entering Quantities

  1. Locate the size grid below the product details
  2. Click in the quantity field for each size
  3. Enter the number of units needed
  4. Press Tab to move to the next size

The grid displays standard sizes (XS, S, M, L, XL, 2XL, 3XL, etc.) based on the product. Extended sizes may have different pricing.

#Size Pricing

  • Standard sizes: Use the base price
  • Extended sizes (2XL+): May include upcharges
  • Youth sizes: Typically priced separately

Tip: The total quantity and line total update in real-time as you enter numbers.

#Adjusting Pricing

Threadline calculates pricing automatically, but you can adjust it:

#Cost vs. Sell Price

  • Cost: Your cost for the garment (from supplier pricing)
  • Sell Price: What you charge the customer

#Adjusting Prices

  1. Click the price field you want to edit
  2. Enter the new price
  3. The margin and totals recalculate automatically

#Bulk Price Adjustments

To apply the same price across all sizes in a line item:

  1. Click the Apply to All option
  2. Enter the uniform price
  3. All sizes update to the new price

#Adding Fees and Discounts

#Adding Fees

Common fees include setup charges, rush fees, and shipping:

  1. Scroll to the Fees section
  2. Click Add Fee
  3. Enter:
    • Description: What the fee is for (e.g., "Screen setup - 4 colors")
    • Quantity: Number of units (often 1)
    • Unit Price: The fee amount
  4. The fee appears in the order summary

#Adding Discounts

To apply a discount:

  1. Locate the Discount field in the order summary
  2. Enter either:
    • A percentage (e.g., "10%")
    • A flat amount (e.g., "$50")
  3. The discount applies to the subtotal before tax

#Quote Settings

Configure additional quote options:

#Quote Name

Give your quote a descriptive name for easy reference (e.g., "Acme Corp - Summer Polos 2025").

#Valid Until Date

Set an expiration date for the quote. After this date, customers see a notice that the quote may no longer be valid.

#Notes

Add internal notes (visible only to your team) or customer-facing notes (included on the quote).

#Tax Settings

Configure tax calculation:

  • Tax exempt: Check if the customer is tax exempt
  • Tax rate: Adjust if different from your default rate

#Saving Your Quote

#Draft vs. Active

  • Save as Draft: Quote is saved but not ready to send
  • Create Quote: Quote is finalized and ready for customer delivery

#Validation

Before saving, Threadline validates:

  • Customer is selected
  • At least one line item exists
  • All required fields are complete

Fix any errors shown in the validation summary before saving.

#After Saving

Once saved, you can:

  • Edit the quote to make changes
  • Share a link for customer viewing
  • Duplicate to create a similar quote
  • Delete if no longer needed

#Troubleshooting

#Quote won't save

Cause: Missing required fields or validation errors.

Fix: Check the error messages at the top of the form. Common issues:

  • No customer selected
  • No line items added
  • Quantity entered without a product
  • Invalid price format

Cause: Product may not be in your catalog, or search terms don't match.

Fix: Try different search terms:

  • Use the style number instead of description
  • Search by brand name
  • Check spelling
  • Use partial matches (e.g., "G5" instead of "G500")

If the product truly isn't available, add it as a custom item.

#Prices seem incorrect

Cause: Pricing may be based on outdated catalog data or wrong pricing tier.

Fix:

  • Check the supplier pricing in your catalog settings
  • Verify the customer's pricing tier if you use tiered pricing
  • Manually override the price if needed

#Extended sizes not showing

Cause: The product may not have extended sizes configured.

Fix: Check the product in your catalog. If extended sizes are available from the supplier but not showing, update the product configuration.

#Frequently Asked Questions

#Can I save a quote and finish it later?

Yes, save as a draft at any time. Draft quotes are saved to your quotes list and can be edited until you send them to a customer.

#How do I add the same product in multiple colors?

Add the product as separate line items—one for each color. Each line item has its own size/quantity grid.

#Can I reorder line items?

Yes, drag and drop line items to reorder them. The order you set is how they appear on the customer-facing quote.

#What's the difference between cost and price?

Cost is what you pay (your expense). Price is what you charge the customer (your revenue). The difference is your margin/profit.

#Can multiple people edit the same quote?

Quotes are locked while being edited to prevent conflicts. If someone else has the quote open, you'll see a notification and can request access.

#Next Steps

Now that you've created a quote:

  1. Add decorations to your garments
  2. Send the quote to your customer
  3. Learn about quote statuses to track progress
